How We Work — Simple, Transparent, Mindful

We guide each project through a clear sequence of thoughtful steps so you always know what’s happening, what’s next, and when decisions are needed. Below is our three-step process. Each step lists the deliverables you’ll receive and the approvals we request to keep the project calm and on schedule.

3-Step Process Overview

  1. Discover — Project kickoff, site visit or virtual walk-through, completed questionnaire, and a concise project brief with priorities and timeline.

  2. Design Development — Concept boards, schematic layouts, finish selections, and contractor-ready specs for approval.

  3. Install & Reveal — Order management, site coordination, installation oversight, styling, and final walkthrough with a closeout packet.

1 — Discover

What we do

  • Client questionnaire review & style / wellness priorities conversation.

  • Introductory call to confirm goals, scope, timeline and priorities.

  • On-site visit (or detailed virtual walk-through) to view context, note constraints, feel energy, & perform measurements.

Deliverables

  • Project brief (scope, goals, timeline, must-haves).

  • Initial site photos, prioritized objectives list, and decision-maker confirmation.

Client actions / approvals

  • Return completed questionnaire and approve the project brief so we can proceed.

Timing & approval window
Deliverable: 1–3 business days after the site visit.

Please approve within 3–5 business days to keep the schedule on track. Delays shift timelines; we'll flag impacts immediately.

3 — Install & Reveal

(Procurement + Coordination + Reveal)

What we do

  • Place and track orders, manage vendor communications and deliveries.

  • Schedule and coordinate on-site milestone visits with contractors/trades.

  • Oversee installation, manage punch lists, complete styling, and deliver a project closeout packet (warranties, care notes, photo set).

Deliverables

  • Order confirmations and delivery schedule.

  • Installation schedule & onsite coordination plan.

  • Completed install + styling photos and project closeout packet.

Client actions / approvals

  • Timely sign-off on substitutions/change orders. Approve final delivery windows and the final walkthrough sign-off.

Timing & approval window
Procurement + install windows vary by vendor lead times. Typical install & styling: 1–3 weeks per phase; final sign-off requested within 3–5 business days.

2 — Design Development

What we do

  • Produce 1–2 concept directions: mood boards, schematic plans, and preliminary budget direction.

  • After direction approval, develop detailed selections: finishes, lighting, fixtures, and any custom millwork concepts.

  • Create construction-grade interior notes / spec PDFs for remodels when required.

Deliverables

  • Concept packet(s) with imagery and palette.

  • Design Development packet: finish schedules, lighting/fixture selections, custom sketches, and procurement lead-time summary.

  • Spec sheet PDFs for contractor reference.

Client actions / approvals

  • Choose concept direction (or request one round of refinements). Approve final selections so we may place orders.

Timing & approval window

  • Concept delivery: 7–14 days after discovery approval.

  • Design development: 2–4 weeks (scope dependent).

  • Selection approvals: allow 3–7 business days per round..

  • To keep timelines reliable, we ask that clients:

    • Provide approvals or consolidated feedback within 3–5 business days for concept and selection milestones.

    • Otherwise, we schedule a brief decision call to avoid project drift.
Delays in approvals will shift timelines and are the primary cause of schedule changes — we’ll always flag impacts and reprioritize together.

  • Single Room Refresh (e.g., primary bedroom)
    Discover → Concept → Design Dev → Procurement/Coordination → Install = 4–8 weeks

    • Medium Remodel (kitchen or open living)
      Discover → Concept → Design Dev → Documentation → Procurement → Install = 8–16 weeks

    • Large / Full Home
Full discovery and multi-phase delivery with staggered procurement = 16–28+ weeks depending on scope and lead timesescription text goes here

  • We typically deliver as project engagements with clear initial retainer, milestone invoicing (deposit → mid-project milestone → pre-installation → final).

    • Hourly work is used for add-ons, expedited tasks, or on-site hourly coordination where appropriate. Hourly work is billed weekly.

    • Retainer arrangements are available for ongoing support and post-launch maintenance (marketing, website updates, seasonal refreshes).
We’ll include a clear payment schedule and invoicing plan in every proposal.

    • Approved selections that are later changed may require a change order to cover restocking, additional labor, or expedited shipping. We will always present change orders for sign-off before execution.

    • Emergency on-site changes are handled quickly; we’ll document costs and request approval before making non-reversible commitments.

  • At project start please have:

    • Completed design questionnaire and any available floor plans or permits

    • Contact info for the GC/architect (if applicable)

    • A consolidated decision-maker or small decision team for approvals

    • Access plan and scheduling windows for site visits
